Fiduciary Assistant

AGENCY OVERVIEW:

POSITION SUMMARY:

Under the supervision of the Director of Fiduciary Services, the Fiduciary Assistant provides fiduciary services and support to clients for whom the agency is named as Conservator, Power of Attorney, Trustee, Executor, Administrator and other authorities.

The Fiduciary Assistant understands and assists in meeting budget and services goals, understands the mission and objectives of JFCS and Seniors At Home and complies with Agency standards for performance, policies and procedures.

COMPENSATION AND BENEFITS:

  • Pay Range: $30/hour
  • Employment Type:  full-time, non-exempt position with benefits
  • Employer 403(b) retirement match plus additional employer contribution (subject to eligibility)

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Prepare Fee Logs for Court submission for JFCS payment
  • Collaborate with all Account Managers and Care Managers on project-based work
  • Organize, manage and safeguard all client tangible personal property, original estate planning and other important documents on site and off site and arrange for shipping and delivery
  • Develop and maintain relationships with financial institutions on behalf of clients to ensure appropriate cash flow, consolidation of accounts, processing automatic deposits and withdrawals, visits for pre and post account issues
  • Provide support for Director of Fiduciary Services and prepare reports, invoices, statistics, assist with SSA, JFCS and other audits
  • Maintain time and billing software and database, software responsibility, prepare invoices, interface with software company and JFCS Finance Dept., prepare payment invoices
  • Maintain and reconcile credit card accounts for purchases for clients and medications; maintain and reconcile petty cash transactions
  • Maintain and update JFCS Springing files, client assessment and registration, coordinate with care management
  • Meet service, fee and other revenue generation goals with productivity rate of 80%

REQUIREMENTS:

  • AA degree and minimum of two years office experience
  • Minimum of two years’ administrative experience supporting teams in a professional environment is required.
  • Basic to Intermediate proficiency in Microsoft Office Suite including Word, Excel, Outlook, Access and Quicken is required
  • Excellent communication skills both verbal and in writing are critical in order to be able to exchange accurate information in varying situations
  • Excellent customer service orientation, polite, friendly, warm, and social. Responds with courtesy, clarity and accuracy to inquiries and request for service and assistance. Has a strong sense of urgency about solving problems and getting work done
  • Self-directed with the ability to prioritize multiple functions and tasks while managing their work time efficiently. Highly organized with meticulous attention to detail
